Overview
Playtomic connects your padel club to MessageMind so the AI can check live court availability, book private courts, create or join open matches, look up a player's upcoming reservations, and cancel bookings, all from inside the chat thread. The integration spans three Playtomic surfaces: the authenticated club-manager API, the public playtomic.com availability feed, and the partner thirdparty API used for the connect probe and the player sync.
What MessageMind can do with it
- Check live availability for your club across private court slots, new open-match slots, and joinable open matches, over a specific date, time, time range, or date range.
- Book a private court for a specific start and duration (30, 45, 60, 75, 90, 105, or 120 minutes), creating the Playtomic customer if the club does not already know them.
- Create a new open match (competitive or friendly, with gender policy and level range) or join an existing open match on behalf of the player.
- List a player's upcoming reservations at your club, pulled only when the conversation's channel proves who they are.
- Cancel a player's reservation (private court or open match), again only when the channel proves identity.
- Sync Playtomic players into MessageMind contacts in the background through the partner API.
Requirements
- A Playtomic account with manager access to the tenant you want to connect, plus the email and password MessageMind will use to log in to the club manager.
- A Playtomic partner Client ID and Client Secret (thirdparty API), issued by Playtomic for your integration.
- The Tenant ID of your club, the public Club Slug, and the club's IANA time zone (every answer the AI prints is in club-local time).
How to connect
- In the MessageMind dashboard, open Integrations and select Playtomic.
- Enter the Client ID, Client Secret, Tenant ID, Club Slug, time zone, manager email, and manager password that your club uses.
- MessageMind runs a live connect probe in parallel: the partner API is checked with a one-row players read, and the manager login is attempted against the Tenant ID. Every failing part is reported together with the key names that caused it.
- Once the probe passes the integration is enabled and the AI gets the five Playtomic tools: availability, open-match create or join, private court booking, bookings lookup, and cancel.
Authentication and permissions
- Mechanism
- Two parallel authentications. The manager email and password are exchanged on the manager API for a scoped access token. The partner Client ID and Secret mint a short-lived bearer token on the thirdparty API, cached and renewed shortly before expiry.
- Credentials
- Client ID, Client Secret, Tenant ID, Club Slug, time zone, manager Email, and manager Password. All seven are stored on the integration document; the password and secret are kept inside your MessageMind tenant.
Available data and actions
Reads
- Live private court availability and open-match availability for your tenant, filtered to padel.
- The club's court names and open matches that match the configured resource types.
- A player's upcoming reservations at your club, within a configurable number of days ahead (default around 31 days).
- The club's player roster through the partner API, for background sync into MessageMind contacts.
Writes
- New private court bookings on behalf of a named player, creating the Playtomic customer when the club has none yet.
- New open matches, with configured gender, type, level range, and starting team placement.
- Join requests on existing open matches.
- Cancellation of a private court booking or removal of the player from an open match.
AI agent use cases
- A WhatsApp message asking for a padel court tomorrow evening gets a direct quote of free starts and a booked court inside the thread.
- A player asks to set up a friendly match with a defined level range; the AI creates the open match and shares the link to join.
- A player on the club's WhatsApp number asks what they have booked this week; the AI lists their upcoming reservations, limited to what their channel identity proves.
- A player cancels a court or leaves an open match without staff having to open Playtomic.
Configuration
- All times are club-local. The configured time zone must be a valid IANA zone, or the connect probe fails.
- Availability lookups span at most 30 days, and open time-range lookups cover up to 7 days from today.
- Private court durations are limited to 30, 45, 60, 75, 90, 105, and 120 minutes.
- Open matches are capacity 4, 2 players per team.
- The bookings lookup and cancel are only offered on channels that prove the sender's identity (WhatsApp, SMS, email, Outlook, and custom email).
Example workflows
Quote and book a private court
- Player asks for a padel court at a specific time.
- The AI calls availability and reads the free court slots for that window.
- The AI quotes the first viable starts in club-local time and the player picks one.
- The AI creates the booking on Playtomic, creating the Playtomic customer first if the club has none.
- The AI confirms the booking in the thread, with the court and start time.
Limitations
- The integration is scoped to padel.
- The bookings lookup and cancellation are limited to channels that prove identity. On other channels the AI will not list or cancel on a player's behalf.
- The public playtomic.com availability feed is rate-limited by CloudFront. MessageMind caps concurrent reads and will fall back to a direct connection when the proxy exits are blocked.
- Manager tokens live about an hour and the refresh token about 60 days. A full password re-login happens automatically when the refresh token nears expiry.
- A reconnect to a different Tenant ID or environment is treated as a different club; the previous tokens and cached state do not carry over.
Troubleshooting
The connect form reports missing keys even though every field looks filled.
The seven keys are matched by exact name (Client ID, Client Secret, Tenant ID, Club Slug, timezone, Email, Password). A mistyped key name reads as missing. Re-check each label.
The connect form says the time zone is not valid.
The time zone must be a valid IANA zone (for example Europe/Madrid, Europe/Rome). Any other value is refused because every reply is printed in club-local time.
The partner probe refuses the Client ID or Client Secret.
The thirdparty credentials were rejected. Confirm the pair with Playtomic (and that the pair is enabled for your Tenant ID) and reconnect.
The manager login is accepted but the Tenant ID shows no access.
The manager account authenticated, but it has no manager role on this tenant. Grant the manager role on the correct tenant and reconnect.
Disconnect and reconnect
- In the MessageMind dashboard, open Integrations and choose Disconnect on the Playtomic card. The seven stored keys, cached manager session, and cached partner token are removed from your tenant and the five Playtomic tools are hidden from the AI.
- To reconnect, enter the credentials again in the connection form. Existing Playtomic reservations stay on Playtomic; disconnecting does not cancel them.
