Acuity Scheduling AI Integration: How It Works and How to Connect It
The Acuity Scheduling AI integration lets MessageMind's AI agent read live Acuity Scheduling data and reply across WhatsApp, SMS, Instagram, email and web chat.
The Acuity Scheduling AI integration connects Acuity Scheduling to MessageMind so an AI agent can read live context and reply across every channel your customers use. Connect Acuity Scheduling so the AI agent can check your open times and book, move or cancel Acuity appointments for customers in the chat. You connect it from Connections > Integrations by pasting the User ID and API Key from your Acuity account, then you choose which appointment types the AI agent may book.
What is the Acuity Scheduling AI integration?
Connect Acuity Scheduling so the AI agent can check your open times and book, move or cancel Acuity appointments for customers in the chat. You connect it from Connections > Integrations by pasting the User ID and API Key from your Acuity account, then you choose which appointment types the AI agent may book. Only free appointment types can be offered.
You can see every supported integration on the MessageMind integrations page, and the full technical reference for this one lives in the Acuity Scheduling documentation. If you prefer to see it in action first, book a demo and we will walk you through the live flow.
What the Acuity Scheduling integration can do
The Acuity Scheduling AI integration ships with the following capabilities out of the box:
- The AI agent checks open times on the appointment types you allowed: on a given day, at an exact time, within a time window or across several days.
- When a customer asks for the earliest time you have, it finds the next free slot without asking them for a date.
- If the time a customer wants is taken, it suggests the next free times that day or the same time on nearby days.
- It books the appointment in Acuity after asking for first name, last name and email. A phone number is optional.
- Before booking, it also asks the required questions from the intake forms attached to that appointment type in Acuity.
- Customers can move an appointment to a new time. Their intake answers stay on the appointment, so they don't answer again.
- Customers can cancel an appointment. The AI agent asks them to confirm first, and if they give a reason it is saved on the cancelled appointment in Acuity.
Data read and written
The Acuity Scheduling AI integration touches a scoped set of fields. Here is exactly what moves between the two systems:
| Direction | What it covers |
|---|---|
| Read | Your appointment types, with their name, length and price, so only free ones are listed. |
| Read | The intake forms attached to each appointment type, with their questions and the answer choices of multiple-choice questions. Forms hidden in Acuity are skipped. |
| Read | Open times on the appointment types you allowed. |
| Read | The appointments booked with a customer's email on a given day, to find the one they want to move or cancel. |
| Write | New appointments on the appointment types you allowed, with the customer's name, email, phone and intake answers. |
| Write | A new date and time on an existing appointment. If the customer gives a reason, it is added to the appointment's notes. |
| Write | Cancellations, with the customer's reason attached when they give one. |
How to set up the Acuity Scheduling AI integration
Setup takes a few minutes once your Acuity Scheduling account is live. The outline:
- In Acuity, go to Integrations > API and click View Credentials. Keep the page open, because you need the User ID and the API Key shown there.
- In MessageMind, open Connections > Integrations from the top bar.
- Find the Acuity row under Bookings, or type Acuity in the search box.
- Click Connect on the row. The Connect Acuity Scheduling window opens.
- Paste the number from Acuity into User ID.
- Paste the key from Acuity into API Key.
The step-by-step walkthrough, including every button and field, is in the Acuity Scheduling documentation.
Use cases for the Acuity Scheduling AI integration
Teams typically turn the Acuity Scheduling AI integration on to:
- A new client asks on Instagram for a free consultation. The AI agent offers open times, takes their details and books it in Acuity.
- A customer on WhatsApp asks for the earliest time you have. The AI agent finds the next free slot on the appointment type they want and books it.
- A client can't make tomorrow's session and asks to move it to Friday. The AI agent finds the appointment by their email, checks Friday and moves it.
- Someone writes in the website chat to cancel. The AI agent asks them to confirm, cancels the appointment in Acuity and saves their reason.
- You have a free discovery call and a free internal check-in in Acuity. You allow only the discovery call, so the AI agent never offers the check-in.

Limitations to know
The Acuity Scheduling integration ships with a deliberately scoped surface. These are the limits worth knowing before you depend on it:
- Only free appointment types can be booked. Paid types aren't listed, so the AI agent can't take payments or deposits through Acuity.
- Private and inactive appointment types aren't listed either.
- The AI agent books by appointment type only. Customers can't ask for a specific staff member or calendar.
- To move or cancel an appointment, the AI agent needs the email used for the booking and the appointment's date and time. It only finds appointments on the types you allowed.
- Moving an appointment keeps its appointment type. To switch to another type, the customer cancels and books again.
Pricing and plan availability
The Acuity Scheduling AI integration is available on MessageMind's paid plans. The MessageMind pricing page lists which plan is required and what each tier includes. There is no extra per-integration fee; the connection is part of your account.
Frequently asked questions
What is the Acuity Scheduling AI integration?
The Acuity Scheduling AI integration is the native connection between Acuity Scheduling and MessageMind. Once connected, the AI agent can read live Acuity Scheduling context during a conversation and act on it (for example answering a stock question, booking an appointment or updating a contact) across WhatsApp, Instagram, SMS, email and web chat.
How do I connect Acuity Scheduling to MessageMind?
Open the Acuity Scheduling integration page inside your MessageMind dashboard and follow the connect flow. The full step-by-step with every field label and screenshot is in the Acuity Scheduling documentation.
How does authentication work for the Acuity Scheduling integration?
You paste two values from your Acuity account into the connect window: your User ID and your API Key. There is no Acuity sign-in page. The connection keeps working until you disconnect or the API key stops working in Acuity. MessageMind stores these credentials encrypted at rest and uses them only server-side, so they never reach the browser or any third party.
What does the AI agent do once Acuity Scheduling is connected?
It works with live Acuity Scheduling data during the conversation. The first capability in the Acuity Scheduling documentation reads: "The AI agent checks open times on the appointment types you allowed: on a given day, at an exact time, within a time window or across several days." The full list, with every field the integration reads and writes, is in the documentation.
Clicking Connect shows "Invalid Acuity User ID or API Key. Please double-check both values in Acuity → Integrations → API → View Credentials." What should I do?
Copy both values again from View Credentials in Acuity. The User ID is a number, and the API Key has to be pasted whole with no spaces. If both are right, check that your Acuity plan includes API access.
