What the Cal.com integration can do
The Cal.com AI integration ships with the following capabilities out of the box:
- The AI agent checks free times on the event types you ticked. It can look for the earliest free slot, a specific day or time, a time of day, or a range of days.
- If the time a customer asks for is taken, it offers later times on the same day or the same time on nearby days.
- Once the customer picks a time, it asks for their name, email and any booking question the event type marks as required, then books the meeting in Cal.com.
- When the event type's booking form has the notes or guests field, it asks whether the customer wants to add a note or invite other people by email.
- It moves an upcoming booking to a new time on the same event type, after checking that the new time is free.
- It cancels an upcoming booking after the customer confirms, and passes on their reason if they give one.
- With more than one event type ticked, it asks which one the customer wants when they haven't said.
Data read and written
The Cal.com AI integration touches a scoped set of fields. Here is exactly what moves between the two systems:
| Direction | What it covers |
|---|---|
| Read | Your event types that are not hidden, with their name, length and booking questions, including which questions are required. |
| Read | Free times on the event types you ticked, as Cal.com works them out from your availability settings and existing bookings. |
| Read | Upcoming bookings on those event types, found by the attendee's email and the booking's date and time when a customer asks to move or cancel. |
| Write | New bookings on the event types you ticked, with the customer's name, email, answers to the booking questions and any guests or notes they added. |
| Write | New times for upcoming bookings, with the customer's reason when they give one. |
| Write | Cancellations of upcoming bookings, with the customer's reason when they give one. |
How to set up the Cal.com AI integration
Setup takes a few minutes once your Cal.com account is live. The outline:
- In Cal.com, go to Settings > Developer > API Keys and create a new key. Do this while signed in to the Cal.com account whose event types the AI agent should book.
- Choose Never expires for the key. A key with an end date stops working on that date, and the AI agent can no longer book until you connect again.
- Copy the key. Cal.com shows it only once.
- In MessageMind, open Connections > Integrations from the top bar.
- Find the Cal.com row under Bookings, or type Cal.com in the search box.
- Click Connect on the row. The Connect Cal.com window opens.
The step-by-step walkthrough, including every button and field, is in the Cal.com documentation.
Use cases for the Cal.com AI integration
Teams typically turn the Cal.com AI integration on to:
- A customer on WhatsApp asks for the first free slot for a 30 minute consultation. The AI agent finds the earliest time on that event type and books it once they agree.
- A visitor in your website chat asks if you have anything on Thursday afternoon. The AI agent lists the free times in that window and books the one they choose.
- A client writes that they can't make Tuesday at 10 and asks for Friday instead. The AI agent finds their booking and moves it to a free time on Friday.
- Someone needs to cancel. The AI agent asks them to confirm, cancels the booking in Cal.com and passes on the reason they give.
- You keep an internal event type for team calls in Cal.com. You leave it unticked, so the AI agent never offers it to customers.

Limitations to know
The Cal.com integration ships with a deliberately scoped surface. These are the limits worth knowing before you depend on it:
- Only Cal.com's hosted service can be connected. A self-hosted Cal.com can't be connected.
- Hidden event types are not listed and can't be booked by the AI agent.
- A booking can only be moved to a new time, not to a different event type.
- The AI agent can only find upcoming bookings on the event types you ticked. Past bookings, and bookings on other event types, can't be moved or cancelled from the chat.
- A search across a range of days covers up to 31 days. A request for a time of day with no date, such as "any afternoon", looks at the next 14 days.
Pricing and plan availability
The Cal.com AI integration is available on MessageMind's paid plans. The MessageMind pricing page lists which plan is required and what each tier includes. There is no extra per-integration fee; the connection is part of your account.
Frequently asked questions
What is the Cal.com AI integration?
The Cal.com AI integration is the native connection between Cal.com and MessageMind. Once connected, the AI agent can read live Cal.com context during a conversation and act on it (for example answering a stock question, booking an appointment or updating a contact) across WhatsApp, Instagram, SMS, email and web chat.
How do I connect Cal.com to MessageMind?
Open the Cal.com integration page inside your MessageMind dashboard and follow the connect flow. The full step-by-step with every field label and screenshot is in the Cal.com documentation.
How does authentication work for the Cal.com integration?
You paste a Cal.com API key into MessageMind. There is no Cal.com sign-in page, and the key doesn't renew by itself: if it expires or you delete it in Cal.com, you connect again with a new key. MessageMind stores these credentials encrypted at rest and uses them only server-side, so they never reach the browser or any third party.
What does the AI agent do once Cal.com is connected?
It works with live Cal.com data during the conversation. The first capability in the Cal.com documentation reads: "The AI agent checks free times on the event types you ticked. It can look for the earliest free slot, a specific day or time, a time of day, or a range of days." The full list, with every field the integration reads and writes, is in the documentation.
Clicking Connect shows "Invalid Cal.com API key. Please double-check your key in Cal.com → Settings → Developer → API Keys." What should I do?
The key is incomplete, expired or deleted. Create a new key in Cal.com, copy all of it and paste it into the API Key field again.
