What is the Square Appointments AI integration?

Connect Square Appointments so the AI agent can check open times and book, move or cancel Square appointments for your customers in the chat. You connect it from Connections > Integrations by signing in to Square, with nothing to copy or paste. The AI agent works with the free, bookable services at the first active location in your Square account.

You can see every supported integration on the MessageMind integrations page, and the full technical reference for this one lives in the Square Appointments documentation. If you prefer to see it in action first, book a demo and we will walk you through the live flow.

What the Square Appointments integration can do

The Square Appointments AI integration ships with the following capabilities out of the box:

  • Checks open times for a service on a given day, at an exact time, within a time window or across several days.
  • Finds your earliest opening when a customer asks for the next free slot, without asking them for a date.
  • If you offer more than one service and the customer hasn't said which one they want, the AI agent asks before it checks times.
  • Books the appointment in Square once it has the customer's first name, last name and email. Before booking it asks whether they have any notes and adds them to the appointment.
  • Bookings made with an email that already belongs to a Square customer go on that customer's profile. Otherwise a new customer is created in Square.
  • Customers can move an appointment to another time. The new time is checked first, so nothing changes if it's taken.
  • Cancellations need the customer's confirmation first, and the AI agent offers to note their reason in Square.

Data read and written

The Square Appointments AI integration touches a scoped set of fields. Here is exactly what moves between the two systems:

DirectionWhat it covers
ReadYour active locations. The first one is where the AI agent books.
ReadYour services and their variations, with price, duration and where each one is offered. This list is read when you connect.
ReadOpen times for a service at that location.
ReadYour bookable team members at that location.
ReadCustomers, looked up by email.
WriteNew customers with first name, last name and email (plus a phone number if the customer gave one), when the email isn't in Square yet.
WriteNew appointments, with any notes the customer gave.
WriteMoved appointments. The original is cancelled and the new time is booked as a new appointment, with a note saying when it was moved from and the customer's reason, if they gave one.
WriteCancellations. A reason the customer gives is added to the appointment's note.

How to set up the Square Appointments AI integration

Setup takes a few minutes once your Square Appointments account is live. The outline:

  • In Square, set up the services you want the AI agent to book (see Requirements). MessageMind only reads your services at the moment you connect.
  • In MessageMind, open Connections > Integrations from the top bar.
  • Find the Square row under Bookings, or type Square in the search box.
  • Click Connect on the row. The Connect Square window opens, with no fields to fill in.
  • Click Connect in the window. Square's sign-in page opens in the same tab.
  • Sign in to the Square account that holds your appointments. Square asks you to sign in even if you're already signed in to Square in that browser.

The step-by-step walkthrough, including every button and field, is in the Square Appointments documentation.

Use cases for the Square Appointments AI integration

Teams typically turn the Square Appointments AI integration on to:

  • A new client asks on WhatsApp for a free consultation on Friday afternoon. The AI agent offers the open times, takes their name and email and books it in Square.
  • Someone asks on Instagram when your next free slot is, and gets the earliest opening without having to suggest a date.
  • A client can't make Tuesday and asks to move to Thursday. The AI agent checks Thursday, moves the appointment and confirms it in the chat.
  • A client writes in the website chat to cancel. After they confirm, the appointment is cancelled in Square with their reason on it.

Limitations to know

The Square Appointments integration ships with a deliberately scoped surface. These are the limits worth knowing before you depend on it:

  • Only free services are offered. Services with a price or a variable price aren't picked up, so the AI agent can't take payments or deposits through Square.
  • The AI agent books at one location only, the first active location in your Square account. You can't choose another location in MessageMind.
  • New appointments always go to the same team member, the first bookable one Square lists for that location. Customers can't choose who they see.
  • Bookings hold first name, last name, email, an optional phone number and notes. You can't add your own booking questions.
  • To move or cancel an appointment, the AI agent needs the email used for the booking and the service, date and time of the appointment. It only finds appointments at the connected location on services it offers.

Pricing and plan availability

The Square Appointments AI integration is available on MessageMind's paid plans. The MessageMind pricing page lists which plan is required and what each tier includes. There is no extra per-integration fee; the connection is part of your account.

Frequently asked questions

What is the Square Appointments AI integration?

The Square Appointments AI integration is the native connection between Square Appointments and MessageMind. Once connected, the AI agent can read live Square Appointments context during a conversation and act on it (for example answering a stock question, booking an appointment or updating a contact) across WhatsApp, Instagram, SMS, email and web chat.

How do I connect Square Appointments to MessageMind?

Open the Square Appointments integration page inside your MessageMind dashboard and follow the connect flow. The full step-by-step with every field label and screenshot is in the Square Appointments documentation.

How does authentication work for the Square Appointments integration?

You sign in to Square on Square's own page and approve access for MessageMind. The connection stays active until you disconnect it in MessageMind or remove MessageMind's access in Square. MessageMind stores these credentials encrypted at rest and uses them only server-side, so they never reach the browser or any third party.

What does the AI agent do once Square Appointments is connected?

It works with live Square Appointments data during the conversation. The first capability in the Square Appointments documentation reads: "Checks open times for a service on a given day, at an exact time, within a time window or across several days." The full list, with every field the integration reads and writes, is in the documentation.

After Square sends you back, the message "Failed to connect Square" appears. What should I do?

The access wasn't approved on Square's page. Click Connect on the Square row again and approve the access.
