The Gmail AI integration connects Gmail to MessageMind so an AI agent can read live context and reply across every channel your customers use. Connect a Gmail or Google Workspace mailbox so new customer emails land in your MessageMind inbox and the AI agent can answer them from your address. You sign in with Google, so there is nothing to copy or paste.

What is the Gmail AI integration?

Connect a Gmail or Google Workspace mailbox so new customer emails land in your MessageMind inbox and the AI agent can answer them from your address. You sign in with Google, so there is nothing to copy or paste. Each connected address gets its own tab on the Email channel page, with its own reply rules, signature and header.

You can see every supported integration on the MessageMind integrations page, and the full technical reference for this one lives in the Gmail documentation. If you prefer to see it in action first, book a demo and we will walk you through the live flow.

What the Gmail integration can do

The Gmail AI integration ships with the following capabilities out of the box:

  • New emails in the Gmail Inbox appear under Workspace > Main Inbox, one conversation per Gmail thread.
  • The AI agent replies from your address, inside the thread the customer started.
  • Your team can answer in the same conversation, attach files and add CC or BCC recipients.
  • Each sender is matched to a contact in Contacts. Someone writing for the first time gets a new contact.
  • Website form notifications usually come from an address like no-reply. When the notification includes the visitor's details, the conversation opens with the visitor instead, and their phone number and other answers go on their contact.
  • You can connect several Gmail and Google Workspace addresses next to Outlook or custom domain inboxes. Each address keeps its own settings.
  • Email steps in Campaigns can send from this address. With more than one inbox connected, you pick it under Send from.

Data read and written

The Gmail AI integration touches a scoped set of fields. Here is exactly what moves between the two systems:

DirectionWhat it covers
ReadNew emails that arrive in the Inbox of the connected address, with sender, subject and message text.
ReadFiles attached to those emails, such as images, PDFs, video and audio.
ReadThe email address of the Google account you sign in with. It becomes the name of the mailbox tab.
WriteReplies from the AI agent and your team, sent from your address in the original Gmail thread. Gmail shows them in that thread and under Sent.
WriteNew emails from Campaigns email steps that use this address.

How to set up the Gmail AI integration

Setup takes a few minutes once your Gmail account is live. The outline:

  • In the top menu, open Connections and click Channels.
  • Click the Email card. To find it faster, pick Email in the filters on the left. On short-term rental accounts the card is called STR Inbox.
  • Under Sign in with, click Google for a personal Gmail address or Google Workspace for an address on your company's domain. If another inbox is already connected, open the Add inbox tab first.
  • In the Google window, choose the account that owns the mailbox.
  • Approve every permission Google lists. Reading and answering the mailbox needs all of them.
  • Wait for the Google window to close. The page reloads, shows "Email Connected Successfully!" (or "Google Workspace Connected Successfully!") and opens a tab for the new address.

The step-by-step walkthrough, including every button and field, is in the Gmail documentation.

Use cases for the Gmail AI integration

Teams typically turn the Gmail AI integration on to:

  • A customer emails your bookings address on a Sunday to ask about opening hours. The AI agent answers in the same thread, with your signature at the bottom.
  • Someone fills in the contact form on your website. The notification comes from the form's no-reply address, but the AI agent writes back to the person who filled it in, and their phone number is already on their contact.
  • Supplier invoices and newsletters land in the same mailbox as customer questions. A skip filter on the subject or sender keeps the AI agent out of them, and your team still sees them in the inbox.

Limitations to know

The Gmail integration ships with a deliberately scoped surface. These are the limits worth knowing before you depend on it:

  • Only emails that arrive after you connect come in. Older emails stay in Gmail.
  • An email comes in only when the connected address is the first address in its To line. Emails that reach you as CC or BCC, through an alias, a group or a forwarding address, or with someone else listed first in To, do not appear.
  • Emails that go to Spam, or that a Gmail filter archives or moves out of the Inbox, are not picked up.
  • Replies you write directly in Gmail do not show in the MessageMind conversation.
  • Nothing is changed in your Gmail account. Emails are not marked as read, labelled, archived or deleted.

Pricing and plan availability

The Gmail AI integration is available on MessageMind's paid plans. The MessageMind pricing page lists which plan is required and what each tier includes. There is no extra per-integration fee; the connection is part of your account.

Frequently asked questions

What is the Gmail AI integration?

The Gmail AI integration is the native connection between Gmail and MessageMind. Once connected, the AI agent can read live Gmail context during a conversation and act on it (for example answering a stock question, booking an appointment or updating a contact) across WhatsApp, Instagram, SMS, email and web chat.

How do I connect Gmail to MessageMind?

Open the Gmail integration page inside your MessageMind dashboard and follow the connect flow. The full step-by-step with every field label and screenshot is in the Gmail documentation.

How does authentication work for the Gmail integration?

You sign in with Google in a pop-up window and approve access for MessageMind. Google shows the approval screen every time you connect, even for an address you connected before. MessageMind stores these credentials encrypted at rest and uses them only server-side, so they never reach the browser or any third party.

What does the AI agent do once Gmail is connected?

It works with live Gmail data during the conversation. The first capability in the Gmail documentation reads: "New emails in the Gmail Inbox appear under Workspace > Main Inbox, one conversation per Gmail thread." The full list, with every field the integration reads and writes, is in the documentation.

No Google window opens after you click Google or Google Workspace. What should I do?

Your browser blocked the pop-up. Allow pop-ups for MessageMind, reload the page and click the option again.
