The Outlook AI integration connects Outlook to MessageMind so an AI agent can read live context and reply across every channel your customers use. Connect an Outlook, Microsoft 365 or Outlook.com mailbox so customer emails land in your MessageMind Workspace and the AI agent can answer them. You sign in with Microsoft, so there is no password or key to copy. The AI agent replies from your own address, inside the customer's email thread.

What is the Outlook AI integration?

Connect an Outlook, Microsoft 365 or Outlook.com mailbox so customer emails land in your MessageMind Workspace and the AI agent can answer them. You sign in with Microsoft, so there is no password or key to copy. The AI agent replies from your own address, inside the customer's email thread. Each connected address gets its own tab on the Email channel page, with its own reply rules, signature and header.

You can see every supported integration on the MessageMind integrations page, and the full technical reference for this one lives in the Outlook documentation. If you prefer to see it in action first, book a demo and we will walk you through the live flow.

What the Outlook integration can do

The Outlook AI integration ships with the following capabilities out of the box:

  • Works with work or school mailboxes (Microsoft 365, Office 365) and with personal Outlook.com, Hotmail and Live addresses.
  • New emails to the mailbox show up as conversations in the Workspace. Each sender and subject gets its own conversation, and the customer's later replies on that subject join it.
  • The AI agent replies from your Outlook address in the same email thread, with the earlier messages quoted below its answer.
  • Your team can answer from the same conversation in the Workspace, and those emails also go out from the connected mailbox.
  • Images, videos, audio files, PDFs and Office documents attached to a customer's email appear in the conversation.
  • You can connect several addresses and mix Outlook with Gmail, Google Workspace and custom domain inboxes.
  • A Microsoft 365 shared mailbox, such as support@ or info@, can be linked if your Microsoft account already has Full Access to it.

Data read and written

The Outlook AI integration touches a scoped set of fields. Here is exactly what moves between the two systems:

DirectionWhat it covers
ReadNew emails delivered to the mailbox's Inbox folder after you connect: sender, subject, message text and attachments.
ReadThe name and email address of the Microsoft account you sign in with.
WriteEmails sent from the connected address: the AI agent's replies, with your Email Header and Email Signature, and the replies your team writes in the Workspace.
WriteOutlook keeps a copy of each sent email in Sent Items.

How to set up the Outlook AI integration

Setup takes a few minutes once your Outlook account is live. The outline:

  • In the top menu, open Connections and click Channels.
  • Click the Email card. On short-term rental accounts the card is called STR Inbox.
  • If you already have a mailbox connected, the page opens on that mailbox's settings. Click the Add inbox tab.
  • Click Outlook (Microsoft 365 · Office 365 · Outlook.com). Microsoft's sign-in page opens in the same browser tab.
  • Sign in with the Microsoft account that owns the mailbox, or pick it from the list.
  • If Microsoft asks which type of account to use, pick Work or school account for a company address. Personal account is only for Outlook.com, Hotmail and Live addresses.

The step-by-step walkthrough, including every button and field, is in the Outlook documentation.

Use cases for the Outlook AI integration

Teams typically turn the Outlook AI integration on to:

  • Customers who write to info@ or support@ get an answer from the address they wrote to, without anyone on your team opening Outlook.
  • A quote request comes in through your website form. The AI agent answers the person who filled it in, and their phone number is already on the contact when your team calls back.
  • Mail from suppliers or your accountant stays with your team. Their addresses are in the Skip filters, so the AI agent doesn't reply to them.
  • Guests who write to a shared bookings@ mailbox get answers without anyone signing in to that mailbox.

Limitations to know

The Outlook integration ships with a deliberately scoped surface. These are the limits worth knowing before you depend on it:

  • Only emails that arrive after you connect come in. Older mail in the mailbox is not imported.
  • Only mail delivered to the Inbox folder comes through. Mail that Outlook puts in Junk Email, or that your Outlook rules move to another folder, is missed.
  • Emails you write in Outlook itself don't appear in the MessageMind conversation.
  • Replies your team sends from the Workspace go out as a new email with the same subject, not as a reply inside the customer's thread. The customer's answer still lands in the same conversation.
  • A personal Microsoft account created with a company email address has its own separate mailbox, usually empty. Connecting it brings in none of the company's mail.

Pricing and plan availability

The Outlook AI integration is available on MessageMind's paid plans. The MessageMind pricing page lists which plan is required and what each tier includes. There is no extra per-integration fee; the connection is part of your account.

Frequently asked questions

What is the Outlook AI integration?

The Outlook AI integration is the native connection between Outlook and MessageMind. Once connected, the AI agent can read live Outlook context during a conversation and act on it (for example answering a stock question, booking an appointment or updating a contact) across WhatsApp, Instagram, SMS, email and web chat.

How do I connect Outlook to MessageMind?

Open the Outlook integration page inside your MessageMind dashboard and follow the connect flow. The full step-by-step with every field label and screenshot is in the Outlook documentation.

How does authentication work for the Outlook integration?

You sign in on Microsoft's own page and approve MessageMind there. You never type your Outlook password into MessageMind. MessageMind stores these credentials encrypted at rest and uses them only server-side, so they never reach the browser or any third party.

What does the AI agent do once Outlook is connected?

It works with live Outlook data during the conversation. The first capability in the Outlook documentation reads: "Works with work or school mailboxes (Microsoft 365, Office 365) and with personal Outlook.com, Hotmail and Live addresses." The full list, with every field the integration reads and writes, is in the documentation.

The Connection section says "This is a personal Microsoft account. No work email will arrive." What should I do?

You signed in with a personal account that uses your company address. Click Disconnect, connect again, and choose Work or school account when Microsoft asks which account to use.
