The Dentally AI integration connects Dentally to MessageMind so an AI agent can read live context and reply across every channel your customers use. Connect Dentally so the AI agent can offer free times from your practice diary, book patients in and tell them about their appointments. Setup has two parts: you paste a Personal Token on the Integrations page, then import the practice into Calendar Settings and turn it on under Calendar Sync.

What is the Dentally AI integration?

Connect Dentally so the AI agent can offer free times from your practice diary, book patients in and tell them about their appointments. Setup has two parts: you paste a Personal Token on the Integrations page, then import the practice into Calendar Settings and turn it on under Calendar Sync. Once it's on, your Dentally appointments also show in the Workspace calendar, where your team can book, move and cancel them.

You can see every supported integration on the MessageMind integrations page, and the full technical reference for this one lives in the Dentally documentation. If you prefer to see it in action first, book a demo and we will walk you through the live flow.

What the Dentally integration can do

The Dentally AI integration ships with the following capabilities out of the box:

  • The AI agent finds free times with the practitioner a patient asks for by name, or with any dentist, hygienist or therapist on the day they pick.
  • If a patient names a practitioner but no day, it looks for that person's first free day in the next two weeks, starting tomorrow.
  • When the time a patient asks for is taken, it offers the nearest free times on the same day.
  • Patients can book a check-up, a scale and polish, both together, an emergency appointment, or any other reason from your Dentally list that they ask for by name.
  • Every booking is read back to the patient first. It only goes into Dentally, as Pending, once they say yes.
  • Patients can ask about their upcoming appointments and any from the last 30 days, such as one that was cancelled or missed. These are found from the email and phone number already on the conversation, so the patient isn't asked for them.
  • Asked what they can book or who they can see, the AI agent answers from your appointment reasons and practitioners in Dentally.

Data read and written

The Dentally AI integration touches a scoped set of fields. Here is exactly what moves between the two systems:

DirectionWhat it covers
ReadYour practice's name and time zone, its sites, and its active practitioners with their roles.
ReadYour appointment reasons, and the appointment lengths in each site's default payment plan.
ReadFree times in each practitioner's diary.
ReadDiary appointments with the patient's name, reason, status, length, practitioner and notes, to show them in the MessageMind calendar.
ReadPatient records, to find the right patient when someone books or asks about their appointments. When the AI agent reads out an appointment it gives the type, day, time, practitioner and status, never the notes.
WriteNew appointments, created as Pending. Bookings made by the AI agent carry a diary note naming the channel, such as "Booked by MessageMind AI (WhatsApp)".
WriteA new date and time on a Pending appointment, when your team moves it from the calendar. The patient, practitioner, reason and length stay the same.
WriteCancellations of Pending and Confirmed appointments, made from the calendar.
WriteNew patient records, only when the token has patient:create and the AI agent can't find the person in Dentally.

How to set up the Dentally AI integration

Setup takes a few minutes once your Dentally account is live. The outline:

  • Sign in to Dentally as a Permission Level 4 (administrator) user with API access switched on.
  • Go to Settings > Developer > Personal Tokens and click Generate new token.
  • Tick appointment:read, user:read and practice:read. MessageMind refuses a token that is missing any of them.
  • Tick appointment:create and patient:read as well. Booking needs both, and looking up a patient's appointments needs patient:read. Ticking appointment (all) covers both appointment permissions.
  • Tick the full practice permission too, because practice:read alone isn't enough. Without it, changes made in Dentally after setup don't reach the MessageMind calendar.
  • Tick patient:create only if you want the AI agent to register new patients. An umbrella permission covering all patient access includes it too, so leave that unticked as well if new patients should always contact the practice.

The step-by-step walkthrough, including every button and field, is in the Dentally documentation.

Use cases for the Dentally AI integration

Teams typically turn the Dentally AI integration on to:

  • A patient on WhatsApp asks for a check-up with a named dentist. The AI agent offers that dentist's first free times, takes the patient's full name and email, and books it as Pending once they confirm.
  • A caller wants a scale and polish with a hygienist on Thursday. Every hygienist's diary for that day is checked, and the caller hears who is free and when.
  • A patient texts "when is my appointment?" and gets the day, time and practitioner back, found from the number they're texting from.
  • Someone asks about an appointment they missed last week. The AI agent sees it was marked as missed and offers to book a new one.
  • A patient describes tooth pain instead of naming an appointment type. The AI agent doesn't pick a type for them, and if what they ask for isn't on your list, it tells them to contact the practice.

For broader AI-agent patterns across every integration, see ai appointment booking system.

Limitations to know

The Dentally integration ships with a deliberately scoped surface. These are the limits worth knowing before you depend on it:

  • The AI agent can't move or cancel appointments. It tells patients to contact the practice. Your team can do both from the calendar.
  • Unless the token has patient:create, the AI agent only books patients who already have a record in Dentally. If it can't match exactly one record, it tells the patient to contact the practice.
  • Appointment lookups need the patient's email or phone number to be on the conversation already. On WhatsApp, SMS and phone calls the number is there. The AI agent won't ask for these details, so without them it sends the patient to the practice.
  • Same-day appointments can't be booked or moved to from MessageMind, because Dentally gives no free times for today. The earliest day is tomorrow.
  • The AI agent doesn't triage. It never turns a symptom or a long description into an appointment type.

Pricing and plan availability

The Dentally AI integration is available on MessageMind's paid plans. The MessageMind pricing page lists which plan is required and what each tier includes. There is no extra per-integration fee; the connection is part of your account.

Frequently asked questions

What is the Dentally AI integration?

The Dentally AI integration is the native connection between Dentally and MessageMind. Once connected, the AI agent can read live Dentally context during a conversation and act on it (for example answering a stock question, booking an appointment or updating a contact) across WhatsApp, Instagram, SMS, email and web chat.

How do I connect Dentally to MessageMind?

Open the Dentally integration page inside your MessageMind dashboard and follow the connect flow. The full step-by-step with every field label and screenshot is in the Dentally documentation.

How does authentication work for the Dentally integration?

You paste a Personal Token from Dentally. There's no Dentally sign-in window and no region to choose: practices on Dentally's UK, APAC and Canada regions all connect the same way. The connection keeps working until the token is revoked in Dentally or you disconnect. MessageMind stores these credentials encrypted at rest and uses them only server-side, so they never reach the browser or any third party.

What does the AI agent do once Dentally is connected?

It works with live Dentally data during the conversation. The first capability in the Dentally documentation reads: "The AI agent finds free times with the practitioner a patient asks for by name, or with any dentist, hygienist or therapist on the day they pick." The full list, with every field the integration reads and writes, is in the documentation.

Clicking Connect shows "Please paste your Dentally API token." What should I do?

The apiToken field is empty. Paste the token from Dentally and click Connect again.
