Custom domain email AI Integration: How It Works and How to Connect It
The Custom domain email AI integration lets MessageMind's AI agent read live Custom domain email data and reply on every channel your customers use.
The Custom domain email AI integration connects Custom domain email to MessageMind so an AI agent can read live context and reply across every channel your customers use. Connect an email address on your own domain, such as [email protected], so the AI agent can answer the emails it receives. It works with any email host that offers IMAP for incoming mail and SMTP for outgoing mail.
What is the Custom domain email AI integration?
Connect an email address on your own domain, such as [email protected], so the AI agent can answer the emails it receives. It works with any email host that offers IMAP for incoming mail and SMTP for outgoing mail. New emails show up as conversations in your Workspace, and replies go out from your address under the sender name you choose. If your domain's email runs on Google Workspace or Microsoft 365, pick Google Workspace or Outlook on the same page instead.
You can see every supported integration on the MessageMind integrations page, and the full technical reference for this one lives in the Custom domain email documentation. If you prefer to see it in action first, book a demo and we will walk you through the live flow.
What the Custom domain email integration can do
The Custom domain email AI integration ships with the following capabilities out of the box:
- Every new email that lands in the mailbox's Inbox folder becomes a conversation in Workspace > Main Inbox.
- The AI agent answers those emails, following the reply rules you set for the address.
- You can also answer from the conversation yourself. Your reply goes out from the same address.
- Replies sent from MessageMind are copied to the mailbox's Sent folder, with a second copy, already marked as read, in its Inbox. Your usual email app shows them like any other email.
- Replies you send from your own email app appear in the matching conversation in MessageMind.
- Website form notifications open a conversation with the person who filled in the form rather than with the form's no-reply address. Their name and phone number are added to their contact, and their other answers are saved as custom fields.
- You can connect several mailboxes and mix custom domain addresses with Gmail, Google Workspace and Outlook ones.
Data read and written
The Custom domain email AI integration touches a scoped set of fields. Here is exactly what moves between the two systems:
| Direction | What it covers |
|---|---|
| Read | New emails that arrive in the Inbox folder after you connect: sender, subject, message text and attachments. |
| Read | Emails in your Sent folder, so replies you send from your own email app appear in the conversation. |
| Write | Emails from your address, sent by the AI agent or by your team from the Workspace. |
| Write | A copy of each of those emails in your Sent folder, and another one, marked as read, in your Inbox. |
| Write | The read status of new Inbox emails, which are marked as read once MessageMind picks them up. |
How to set up the Custom domain email AI integration
Setup takes a few minutes once your Custom domain email account is live. The outline:
- In the top menu, open Connections and click Channels.
- Click the Email card. Short-term rental accounts see it as STR Inbox.
- If an address is already connected, click the Add inbox tab at the top of the page.
- Click Custom Domain. The Custom inbox form opens below the list of providers.
- Under Account, fill in Email, From name, Username and Password. From name is the sender name your customers see, and Username is often the same as the email address.
- Under Incoming mail, type your IMAP server name in Server.
The step-by-step walkthrough, including every button and field, is in the Custom domain email documentation.
Use cases for the Custom domain email AI integration
Teams typically turn the Custom domain email AI integration on to:
- A customer emails [email protected] late at night to ask about opening hours. The AI agent answers by email from that address, with your signature at the bottom.
- Your website's contact form sends every enquiry to [email protected] from a no-reply address. Each enquiry opens its own conversation with the visitor, and the AI agent's reply goes to the visitor's own address.
- Supplier invoices arrive in the same mailbox as customer questions. You pick Reply to all, with exceptions and add your suppliers' addresses to From, so the AI agent leaves those emails for your team.
- A colleague answers a customer from the shared mailbox in the email app on their laptop. The reply shows up in the MessageMind conversation, and with Assign Chats to Manual on Official Channel Reply turned on, the AI agent stops replying in that conversation.

Limitations to know
The Custom domain email integration ships with a deliberately scoped surface. These are the limits worth knowing before you depend on it:
- Only emails that arrive after you connect are picked up. Older emails already in the mailbox are not imported.
- Only the Inbox folder is read. Emails your host files into other folders, including Junk, never reach MessageMind.
- Incoming mail has to be available over IMAP. Mailboxes that only offer POP3 are not supported, even if the connection check passes.
- MessageMind signs in with the address you type in Email. If your host gives you a login name that is different from your email address, the connection fails.
- New emails are marked as read in your mailbox once MessageMind picks them up, so they no longer look unread in your email app.
Pricing and plan availability
The Custom domain email AI integration is available on MessageMind's paid plans. The MessageMind pricing page lists which plan is required and what each tier includes. There is no extra per-integration fee; the connection is part of your account.
Frequently asked questions
What is the Custom domain email AI integration?
The Custom domain email AI integration is the native connection between Custom domain email and MessageMind. Once connected, the AI agent can read live Custom domain email context during a conversation and act on it (for example answering a stock question, booking an appointment or updating a contact) across WhatsApp, Instagram, SMS, email and web chat.
How do I connect Custom domain email to MessageMind?
Open the Custom domain email integration page inside your MessageMind dashboard and follow the connect flow. The full step-by-step with every field label and screenshot is in the Custom domain email documentation.
How does authentication work for the Custom domain email integration?
You type the mailbox's address and password into the Custom inbox form. MessageMind uses them to sign in to your email host for incoming and outgoing mail. There is no sign-in window to approve. MessageMind stores these credentials encrypted at rest and uses them only server-side, so they never reach the browser or any third party.
What does the AI agent do once Custom domain email is connected?
It works with live Custom domain email data during the conversation. The first capability in the Custom domain email documentation reads: "Every new email that lands in the mailbox's Inbox folder becomes a conversation in Workspace > Main Inbox." The full list, with every field the integration reads and writes, is in the documentation.
"Failed connecting email! Please Try Again!" appears after you click Connect inbox. What should I do?
MessageMind could not sign in to receive or send mail with the details you gave. Check Email and Password first, then each Server and Port against your host's settings. If you only know your domain, type it in both Server fields: the check also tries mail.yourdomain.com, smtp.yourdomain.com and the standard ports. If your host uses two-step verification, use an app password.
