The Microsoft 365 AI integration connects Microsoft 365 to MessageMind so an AI agent can read live context and reply across every channel your customers use. Connect Microsoft 365 so your AI agent can check your Outlook calendar and book meetings for customers, with an optional Teams link. You connect by signing in with a Microsoft work or school account, so there is nothing to copy or paste.

What is the Microsoft 365 AI integration?

Connect Microsoft 365 so your AI agent can check your Outlook calendar and book meetings for customers, with an optional Teams link. You connect by signing in with a Microsoft work or school account, so there is nothing to copy or paste. Then you set up one or more bookable events on the Event Scheduling Settings page: which Outlook calendar to use, your weekly hours, the meeting length and what the AI agent asks the customer. The AI agent starts booking once the first event is saved.

You can see every supported integration on the MessageMind integrations page, and the full technical reference for this one lives in the Microsoft 365 documentation. If you prefer to see it in action first, book a demo and we will walk you through the live flow.

What the Microsoft 365 integration can do

The Microsoft 365 AI integration ships with the following capabilities out of the box:

  • Check open times for one of your events on a given day, at a specific time, or across a range of dates.
  • Compare your weekly availability with the events already in the Outlook calendar you picked, so the AI agent doesn't offer times that calendar shows you as busy.
  • Offer the closest open times before and after when the time a customer asked for is taken.
  • Ask the customer for the details your event needs, such as name, phone number or email, before it books.
  • Create the meeting in your Outlook calendar, with the title, description and location you set up.
  • Add a Microsoft Teams meeting link to the booking when Include Teams meeting link is on for that event.
  • Invite the customer to the meeting through Outlook, if you turn on Send Invites.

Data read and written

The Microsoft 365 AI integration touches a scoped set of fields. Here is exactly what moves between the two systems:

DirectionWhat it covers
ReadThe names of the calendars on the Microsoft account, to fill the Calendar list on Event Scheduling Settings.
ReadWhen events on the chosen calendar start and end, and whether they show as Free, Busy, Tentative and so on. The titles and contents of your existing events are not used for booking.
ReadThe name and email address of the Microsoft account you signed in with.
WriteA new event in the chosen Outlook calendar for each booking, with your event title and description filled in with the customer's answers.
WriteThe customer's email address at the end of the event description.
WriteA Teams meeting on the event, when Include Teams meeting link is on.
WriteThe customer as an attendee, when Send Invites is on. Outlook then sends them the meeting invitation.

How to set up the Microsoft 365 AI integration

Setup takes a few minutes once your Microsoft 365 account is live. The outline:

  • In the top menu, open Connections and click Integrations.
  • Click Bookings in the left rail, or type Microsoft in the search box.
  • Click Connect on the Microsoft 365 row. The Connect Microsoft 365 window opens. It has no fields to fill in.
  • Click Connect in the window. The button shows "Connecting…" and the page switches to Microsoft's sign-in.
  • Sign in with the work or school account whose calendar the AI agent should use, or pick it from the list.
  • If Microsoft lists the permissions MessageMind needs, read them and click Accept.

The step-by-step walkthrough, including every button and field, is in the Microsoft 365 documentation.

Use cases for the Microsoft 365 AI integration

Teams typically turn the Microsoft 365 AI integration on to:

  • A customer on WhatsApp asks for a consultation on Thursday afternoon. The AI agent checks Thursday against your hours and your Outlook calendar and lists the open times.
  • A customer asks for 10:00, but you already have a meeting in Outlook at that time. The AI agent offers the nearest free times before and after it.
  • You run remote demos. With Include Teams meeting link on, every booking gets a Teams link, and the AI agent can share it with the customer in the chat.
  • You offer a 15-minute intro call and a 60-minute session. You set them up as two events, and the AI agent books whichever one the customer asks for.
  • You close every year on 25 December. You add it under Holidays on each event as Yearly Recurring, and the AI agent stops offering that day every year.

For broader AI-agent patterns across every integration, see ai appointment booking system.

Limitations to know

The Microsoft 365 integration ships with a deliberately scoped surface. These are the limits worth knowing before you depend on it:

  • You can connect one Microsoft account on the Integrations page per MessageMind account.
  • The AI agent can't move or cancel bookings. Change or cancel them in Outlook.
  • Only the calendar chosen for an event is checked for busy times. Meetings on your other Outlook calendars don't block that event.
  • Outlook events that show as Free or Working elsewhere, and cancelled events, don't block a time. Busy, Tentative and other statuses do.
  • If the Microsoft account can't create Teams meetings, for example because it has no Teams license, the booking is still made but without a Teams link.

Pricing and plan availability

The Microsoft 365 AI integration is available on MessageMind's paid plans. The MessageMind pricing page lists which plan is required and what each tier includes. There is no extra per-integration fee; the connection is part of your account.

Frequently asked questions

What is the Microsoft 365 AI integration?

The Microsoft 365 AI integration is the native connection between Microsoft 365 and MessageMind. Once connected, the AI agent can read live Microsoft 365 context during a conversation and act on it (for example answering a stock question, booking an appointment or updating a contact) across WhatsApp, Instagram, SMS, email and web chat.

How do I connect Microsoft 365 to MessageMind?

Open the Microsoft 365 integration page inside your MessageMind dashboard and follow the connect flow. The full step-by-step with every field label and screenshot is in the Microsoft 365 documentation.

How does authentication work for the Microsoft 365 integration?

You sign in on Microsoft's own page and approve MessageMind there. Your Microsoft password is never typed into MessageMind. MessageMind stores these credentials encrypted at rest and uses them only server-side, so they never reach the browser or any third party.

What does the AI agent do once Microsoft 365 is connected?

It works with live Microsoft 365 data during the conversation. The first capability in the Microsoft 365 documentation reads: "Check open times for one of your events on a given day, at a specific time, or across a range of dates." The full list, with every field the integration reads and writes, is in the documentation.

Back on the Integrations page you see a message starting "Microsoft authorization was cancelled". What should I do?

The permissions were declined on Microsoft's page. Click Connect on the Microsoft 365 row again and click Accept when Microsoft asks. If Microsoft said the app needs admin approval, ask your Microsoft 365 admin to approve MessageMind first.
