The Zoom AI integration connects Zoom to MessageMind so an AI agent can read live context and reply across every channel your customers use. Connect Zoom so bookings on your MessageMind calendar get their own Zoom meeting link. You connect through your own Zoom OAuth app: create it in the Zoom App Marketplace, paste its Client ID and Client Secret into MessageMind, then approve access in Zoom.

What is the Zoom AI integration?

Connect Zoom so bookings on your MessageMind calendar get their own Zoom meeting link. You connect through your own Zoom OAuth app: create it in the Zoom App Marketplace, paste its Client ID and Client Secret into MessageMind, then approve access in Zoom. When a customer books an event set to Zoom, in a chat with your AI agent or on your booking page, the meeting is created on the host's Zoom account and the customer gets the join link. Moving the booking moves the meeting, and cancelling the booking deletes it.

You can see every supported integration on the MessageMind integrations page, and the full technical reference for this one lives in the Zoom documentation. If you prefer to see it in action first, book a demo and we will walk you through the live flow.

What the Zoom integration can do

The Zoom AI integration ships with the following capabilities out of the box:

  • Create a Zoom meeting on the host's Zoom account for each booking of an event whose location is Online meeting with Zoom.
  • The meeting takes the event's name, the booking's start time and its length.
  • When a booking is rescheduled or edited, the same meeting moves to the new time, so the join link the customer already has keeps working.
  • Cancelling a booking deletes its meeting from the host's Zoom account.
  • After booking in a chat, the AI agent sends the customer the join link.
  • Customers also get a Join meeting button on their booking confirmation page.

Data read and written

The Zoom AI integration touches a scoped set of fields. Here is exactly what moves between the two systems:

DirectionWhat it covers
ReadThe email address of the Zoom account you approved, so you can tell your connected accounts apart.
WriteNew scheduled meetings on the host's Zoom account, one per booking, with the event's name, the start time and the length.
WriteTime changes to those meetings when a booking is rescheduled or edited.
WriteDeletion of those meetings when their booking is cancelled.

How to set up the Zoom AI integration

Setup takes a few minutes once your Zoom account is live. The outline:

  • In MessageMind, open Workspace and click Settings at the bottom of the left rail.
  • Click Calendar Settings, then Connected Apps.
  • If you are the account owner, click Manage next to your name under Account admin. Team members go straight to the list of apps.
  • Click the Zoom card, then click Add another Zoom account. The Connect Zoom window opens.
  • Click Redirect URL - add to your Zoom app allow-list to expand it, then copy the address with the copy button next to it. Keep this window open.
  • In a new browser tab, sign in to the Zoom App Marketplace with the Zoom account that will host the meetings.

The step-by-step walkthrough, including every button and field, is in the Zoom documentation.

Use cases for the Zoom AI integration

Teams typically turn the Zoom AI integration on to:

  • A customer on WhatsApp asks for an online consultation on Thursday. The AI agent finds a free time, books it and replies with the Zoom link.
  • A customer who booked last week asks to move to Friday. The AI agent reschedules the booking, and the Zoom link they already have works at the new time.
  • A customer writes that they can't make it. The AI agent cancels the booking and the meeting disappears from the host's Zoom account.
  • Your team members host calls but have no Zoom apps of their own. You share your Zoom account with them, and their bookings get Zoom links from it.

Limitations to know

The Zoom integration ships with a deliberately scoped surface. These are the limits worth knowing before you depend on it:

  • Zoom links are only added to bookings on your MessageMind calendar. Bookings made through Calendly, Cal.com or other booking integrations don't get them.
  • A Zoom account connected only on the Integrations page is not used for bookings until you import it in Calendar Settings > Connected Apps.
  • Once an event is published, its location and meeting provider are locked. To move a published event to Zoom, create a new event. Unpublished events can still be changed.
  • Only the meeting's name, start time and length are set. Passcode, waiting room and other meeting settings follow the defaults of the host's Zoom account.
  • Zoom is not used to work out free times. A meeting you schedule directly in Zoom does not block a booking slot.

Pricing and plan availability

The Zoom AI integration is available on MessageMind's paid plans. The MessageMind pricing page lists which plan is required and what each tier includes. There is no extra per-integration fee; the connection is part of your account.

Frequently asked questions

What is the Zoom AI integration?

The Zoom AI integration is the native connection between Zoom and MessageMind. Once connected, the AI agent can read live Zoom context during a conversation and act on it (for example answering a stock question, booking an appointment or updating a contact) across WhatsApp, Instagram, SMS, email and web chat.

How do I connect Zoom to MessageMind?

Open the Zoom integration page inside your MessageMind dashboard and follow the connect flow. The full step-by-step with every field label and screenshot is in the Zoom documentation.

How does authentication work for the Zoom integration?

You create an OAuth app in your own Zoom account, paste its Client ID and Client Secret into the Connect Zoom window, then sign in to Zoom and approve access. There is no way to connect Zoom without your own app. MessageMind stores these credentials encrypted at rest and uses them only server-side, so they never reach the browser or any third party.

What does the AI agent do once Zoom is connected?

It works with live Zoom data during the conversation. The first capability in the Zoom documentation reads: "Create a Zoom meeting on the host's Zoom account for each booking of an event whose location is Online meeting with Zoom." The full list, with every field the integration reads and writes, is in the documentation.

Zoom shows an error page instead of asking you to approve access. What should I do?

Check that your Zoom app's allow list has exactly the redirect URL from the Connect Zoom window, and that the Client ID is the one on your app's Basic Information page. Then click Connect again.
