The Google Sheets AI integration connects Google Sheets to MessageMind so an AI agent can read live context and reply across every channel your customers use. Connect Google Sheets so your campaigns can start from new rows in a spreadsheet and add or update rows as they run. You share each spreadsheet with a MessageMind service account, then add it under Connections > Integrations. You can connect several spreadsheets and pick the one each campaign step uses.

What is the Google Sheets AI integration?

Connect Google Sheets so your campaigns can start from new rows in a spreadsheet and add or update rows as they run. You share each spreadsheet with a MessageMind service account, then add it under Connections > Integrations. You can connect several spreadsheets and pick the one each campaign step uses.

You can see every supported integration on the MessageMind integrations page, and the full technical reference for this one lives in the Google Sheets documentation. If you prefer to see it in action first, book a demo and we will walk you through the live flow.

What the Google Sheets integration can do

The Google Sheets AI integration ships with the following capabilities out of the box:

  • Start a campaign when someone new is added to a tab, with the Google Sheet Connection trigger.
  • Each row that starts the campaign becomes a contact. The columns you map fill the contact's name, phone, email, address, company, birthday, language or custom fields, and a row with the email or phone of an existing contact is matched to that contact instead of creating a second one.
  • Columns mapped to Custom field become variables in the later steps of the same campaign, so you can put them in a message.
  • Add Row appends one row, or up to 25 rows, to a tab. Each cell takes a variable, such as the contact's email, or plain text.
  • Update Row changes cells in the row that started the run, or in rows found by a value.
  • In a Condition, Google Sheet value checks whether a matching row exists or what one of its cells says.
  • Several spreadsheets can be connected at once, each under its own name.

Data read and written

The Google Sheets AI integration touches a scoped set of fields. Here is exactly what moves between the two systems:

DirectionWhat it covers
ReadThe spreadsheet's title and the names of its tabs.
ReadColumn names from row 1 of each tab, which fill the column lists in campaign steps.
ReadThe rows of the tab a Google Sheet Connection trigger watches, checked every five minutes.
ReadThe row a Condition or an Update Row step looks for: the row that started the run, or one found by a match column and a match value.
WriteNew rows at the end of a tab, from Add Row.
WriteNew values in the cells an Update Row step names. The other cells in that row are left alone.
WriteNew column names in row 1, when a step writes to a column the tab doesn't have yet.

How to set up the Google Sheets AI integration

Setup takes a few minutes once your Google Sheets account is live. The outline:

  • In the top bar, click Connections, then Integrations.
  • Find Google Sheet (it's listed under CRM, or type it into Search integrations...) and click Connect.
  • Under 1. Share your spreadsheet, click the copy icon next to the service account email.
  • Open your spreadsheet in Google Sheets and click Share.
  • Paste the email, make sure its role is Editor, and click Send (or Share).
  • Copy the spreadsheet's address from your browser's address bar.

The step-by-step walkthrough, including every button and field, is in the Google Sheets documentation.

Use cases for the Google Sheets AI integration

Teams typically turn the Google Sheets AI integration on to:

  • A customer asks the AI agent for a quote. An AI Action trigger lets the AI agent start a campaign during the chat, and an Add Row step writes the customer's name, phone and the details the AI agent collected into your sales team's sheet.
  • In the same campaign, an Update Row step can find the customer's row in your leads sheet by email and set Status to Quoted, so your team sees who the AI agent has already handled.
  • Before a payment reminder goes out, a Condition with Let AI Decide reads the Status cell in the customer's row and checks a rule you write in plain words, for example whether the status means the invoice is settled.

Limitations to know

The Google Sheets integration ships with a deliberately scoped surface. These are the limits worth knowing before you depend on it:

  • The AI agent can't read or change your spreadsheets during a conversation. Only campaign triggers, conditions and actions use them.
  • Watched tabs are checked every five minutes, so a new row can take up to five minutes to start its campaign.
  • When many rows qualify at once, for example the first time an Every row trigger runs over a long sheet, people are started one at a time, no faster than about one per second. A big sheet takes a while to work through.
  • Each person goes through a campaign once from its sheet trigger. A second row with the same email or phone, or a later edit to their row, doesn't start it again.
  • New rows only compares the tab with what it held when the spreadsheet was connected, not when you built the campaign. A new row is also skipped if its email or phone was already in the tab at that moment. The trigger settings show the date it counts from.

Pricing and plan availability

The Google Sheets AI integration is available on MessageMind's paid plans. The MessageMind pricing page lists which plan is required and what each tier includes. There is no extra per-integration fee; the connection is part of your account.

Frequently asked questions

What is the Google Sheets AI integration?

The Google Sheets AI integration is the native connection between Google Sheets and MessageMind. Once connected, the AI agent can read live Google Sheets context during a conversation and act on it (for example answering a stock question, booking an appointment or updating a contact) across WhatsApp, Instagram, SMS, email and web chat.

How do I connect Google Sheets to MessageMind?

Open the Google Sheets integration page inside your MessageMind dashboard and follow the connect flow. The full step-by-step with every field label and screenshot is in the Google Sheets documentation.

How does authentication work for the Google Sheets integration?

You don't sign in to Google from MessageMind. You share each spreadsheet with the service account email shown in the Google Sheet window, the same way you'd share it with a colleague, and MessageMind opens the file through that account. MessageMind stores these credentials encrypted at rest and uses them only server-side, so they never reach the browser or any third party.

What does the AI agent do once Google Sheets is connected?

It works with live Google Sheets data during the conversation. The first capability in the Google Sheets documentation reads: "Start a campaign when someone new is added to a tab, with the Google Sheet Connection trigger." The full list, with every field the integration reads and writes, is in the documentation.

The service account box says "Couldn't load the service account." What should I do?

Click Retry next to it. If it keeps failing, close the window, reload the page and open the Google Sheet window again.
