The FieldMotion AI integration connects FieldMotion to MessageMind so an AI agent can read live context and reply across every channel your customers use. Connecting FieldMotion keeps your FieldMotion customers and your MessageMind contacts in sync in both directions. Customers come into your contacts with their details, notes and custom fields, and changes made in FieldMotion follow every few minutes.

What is the FieldMotion AI integration?

Connecting FieldMotion keeps your FieldMotion customers and your MessageMind contacts in sync in both directions. Customers come into your contacts with their details, notes and custom fields, and changes made in FieldMotion follow every few minutes. Contacts you add or edit in MessageMind are sent back to FieldMotion. You connect with an API ID and API Key that you create in FieldMotion.

You can see every supported integration on the MessageMind integrations page, and the full technical reference for this one lives in the FieldMotion documentation. If you prefer to see it in action first, book a demo and we will walk you through the live flow.

What the FieldMotion integration can do

The FieldMotion AI integration ships with the following capabilities out of the box:

  • Your FieldMotion customers are added to your contacts with their name, company, email, phone numbers, address and notes, starting as soon as you connect.
  • Custom fields come across too, along with each customer's account number, industry, type, account manager and whether they are active.
  • Every few minutes, changes in FieldMotion are picked up. New customers become contacts, edited customers update the matching contact, and new notes your team writes in FieldMotion are added to the end of the contact's Note.
  • A customer whose email or mobile number matches a contact you already have is linked to that contact instead of becoming a second one.
  • When you add a contact, or someone messages you for the first time, a customer is created for them in FieldMotion.
  • Edits you make to a linked contact go back to the customer in FieldMotion. Text you add to the contact's Note arrives there as a new note, next to the notes already on the customer.
  • If you want to watch progress and counts, you can also run a one-off import from Workspace > Contacts.

Data read and written

The FieldMotion AI integration touches a scoped set of fields. Here is exactly what moves between the two systems:

DirectionWhat it covers
ReadCustomers: contact name, account name, email, mobile and landline numbers, and address. Only the customers that the key's FieldMotion user can see are read.
ReadThe notes on each customer.
ReadCustom fields, plus each customer's account number, industry, type, account manager and active status.
WriteA new customer when you add a contact or someone messages you for the first time. If a FieldMotion customer already has that number as its landline, the contact is linked to that customer and the customer is updated instead.
WriteName, contact name, email, phone numbers, address and custom field values when you edit a linked contact. The customer name is the contact's company, or the person's name when there is no company.
WriteA new note on the customer with the text you added to the contact's Note. Notes already on the customer are left alone.
WriteCustomer fields MessageMind doesn't have, such as the account manager or industry, keep their FieldMotion values when you edit a contact.

How to set up the FieldMotion AI integration

Setup takes a few minutes once your FieldMotion account is live. The outline:

  • In FieldMotion, open Users and click Edit user on the user the connection should work as.
  • Open Api Keys and click Create Key.
  • Copy the 32-character key and the API ID, which is the number shown beside the key.
  • In MessageMind, open Connections > Integrations from the top bar.
  • Click Industry-Specific in the category list on the left, or type FieldMotion in the search box.
  • Click Connect on the FieldMotion row to open the Connect FieldMotion window.

The step-by-step walkthrough, including every button and field, is in the FieldMotion documentation.

Use cases for the FieldMotion AI integration

Teams typically turn the FieldMotion AI integration on to:

  • A FieldMotion customer messages you on WhatsApp from the mobile number on their record. Their contact already has their name and company from FieldMotion, so the AI agent can greet them by name.
  • Someone new asks about a boiler service on WhatsApp. They are added to your contacts and created as a customer in FieldMotion, so your office can book the visit there without typing their details again.
  • Your office updates a customer's address or custom fields in FieldMotion. A few minutes later the contact in MessageMind shows the same details, so your team has them when the customer next writes in.
  • While the AI agent handles a chat, you add "Prefers morning visits" to the contact's Note. FieldMotion gets it as a new note on the customer.

Limitations to know

The FieldMotion integration ships with a deliberately scoped surface. These are the limits worth knowing before you depend on it:

  • Only customers sync. The AI agent can't see FieldMotion jobs, appointments, quotes or invoices, and it can't book work in FieldMotion.
  • Customers with neither an email nor a phone number are not added. The import counts them as Invalid.
  • The import only adds customers you don't have yet. A customer that matches an existing contact is linked to it and counted as Skipped.
  • New contacts you add, and everyone who messages you for the first time, are sent to FieldMotion. You can't pick which ones. A contact without a phone number is not created there, because FieldMotion requires one.
  • Contacts you had before connecting that don't match a FieldMotion customer are not sent over in one go. Each one goes to FieldMotion the next time you edit it.

Pricing and plan availability

The FieldMotion AI integration is available on MessageMind's paid plans. The MessageMind pricing page lists which plan is required and what each tier includes. There is no extra per-integration fee; the connection is part of your account.

Frequently asked questions

What is the FieldMotion AI integration?

The FieldMotion AI integration is the native connection between FieldMotion and MessageMind. Once connected, the AI agent can read live FieldMotion context during a conversation and act on it (for example answering a stock question, booking an appointment or updating a contact) across WhatsApp, Instagram, SMS, email and web chat.

How do I connect FieldMotion to MessageMind?

Open the FieldMotion integration page inside your MessageMind dashboard and follow the connect flow. The full step-by-step with every field label and screenshot is in the FieldMotion documentation.

How does authentication work for the FieldMotion integration?

You paste an API ID and an API Key created in FieldMotion. MessageMind then reads and changes customers as the FieldMotion user the key belongs to. You don't enter your FieldMotion web address, because MessageMind finds it from the key. MessageMind stores these credentials encrypted at rest and uses them only server-side, so they never reach the browser or any third party.

What does the AI agent do once FieldMotion is connected?

It works with live FieldMotion data during the conversation. The first capability in the FieldMotion documentation reads: "Your FieldMotion customers are added to your contacts with their name, company, email, phone numbers, address and notes, starting as soon as you connect." The full list, with every field the integration reads and writes, is in the documentation.

Connect in the Connect FieldMotion window is greyed out and the window says "Complete the required fields to connect." What should I do?

Fill in both fields. The number shown beside the key goes into API ID, and the 32-character key goes into API Key.
