The Calendly AI integration connects Calendly to MessageMind so an AI agent can read live context and reply across every channel your customers use. Connect Calendly so your AI agent can check open times on your event types and book meetings for customers during a conversation. You connect with a personal access token from your Calendly account, then choose which event types the AI agent handles. On a paid Calendly plan it books the meeting itself.

What is the Calendly AI integration?

Connect Calendly so your AI agent can check open times on your event types and book meetings for customers during a conversation. You connect with a personal access token from your Calendly account, then choose which event types the AI agent handles. On a paid Calendly plan it books the meeting itself. On Calendly's free plan it sends the customer your booking link instead.

You can see every supported integration on the MessageMind integrations page, and the full technical reference for this one lives in the Calendly documentation. If you prefer to see it in action first, book a demo and we will walk you through the live flow.

What the Calendly integration can do

The Calendly AI integration ships with the following capabilities out of the box:

  • Check open times for an event type on a given day, at a specific time, or across a range of dates.
  • Book the meeting in Calendly once the customer has picked a time and answered the questions on your booking form.
  • When the time a customer asked for is taken, offer the nearest openings before and after it.
  • Share an event type's Calendly booking link so the customer can pick a time on their own.
  • After booking, the customer gets Calendly's reschedule and cancel links in the reply.

Data read and written

The Calendly AI integration touches a scoped set of fields. Here is exactly what moves between the two systems:

DirectionWhat it covers
ReadYour event types, with their name, length and booking link.
ReadThe questions on the booking form of each event type you selected, as they were when you connected.
ReadOpen times for the event types you selected.
ReadMeetings already booked with the customer's email around the requested time, so the same person is not booked twice.
WriteNew bookings on the event types you selected, with the customer's name and email, their phone number if they gave one, and their answers to your booking questions.

How to set up the Calendly AI integration

Setup takes a few minutes once your Calendly account is live. The outline:

  • In Calendly, go to Integrations & Apps > API & Webhooks and create a personal access token.
  • Grant the token at least these scopes: users:read, event_types:read, availability:read and scheduled_events:write.
  • Copy the token and keep it private, as you would a password.
  • In MessageMind, open Connections > Integrations. Click Bookings in the left rail, or type Calendly in the search box.
  • Click Connect on the Calendly row. The Connect Calendly window opens.
  • Paste the token into the Personal Access Token field and click Connect.

The step-by-step walkthrough, including every button and field, is in the Calendly documentation.

Use cases for the Calendly AI integration

Teams typically turn the Calendly AI integration on to:

  • A customer on WhatsApp asks if you have anything on Thursday afternoon. The AI agent checks Thursday for that event type and lists the open times.
  • Someone asks for 10:00, but that slot was taken a minute ago. The AI agent offers the closest openings before and after it.
  • A customer who already booked asks for the same time again. The AI agent tells them the booking exists and does not create a second one.
  • A customer wants a session that takes payment in Calendly. The AI agent sends the booking link so they can book and pay there.

For broader AI-agent patterns across every integration, see ai appointment booking system.

Limitations to know

The Calendly integration ships with a deliberately scoped surface. These are the limits worth knowing before you depend on it:

  • Creating bookings needs a paid Calendly plan. On Calendly's free plan the AI agent sends your booking link instead.
  • Event types that take payment in Calendly are not booked in the chat. The customer gets the booking link and pays in Calendly.
  • The AI agent does not cancel or move meetings. Customers use the reschedule and cancel links Calendly gives them.
  • Event types that are turned off in Calendly show in orange in the Select Events list, and the window counts them as unsupported. The AI agent does not book them.
  • If Calendly needs a meeting location for an event type that the AI agent cannot fill in, the customer gets the booking link instead.

Pricing and plan availability

The Calendly AI integration is available on MessageMind's paid plans. The MessageMind pricing page lists which plan is required and what each tier includes. There is no extra per-integration fee; the connection is part of your account.

Frequently asked questions

What is the Calendly AI integration?

The Calendly AI integration is the native connection between Calendly and MessageMind. Once connected, the AI agent can read live Calendly context during a conversation and act on it (for example answering a stock question, booking an appointment or updating a contact) across WhatsApp, Instagram, SMS, email and web chat.

How do I connect Calendly to MessageMind?

Open the Calendly integration page inside your MessageMind dashboard and follow the connect flow. The full step-by-step with every field label and screenshot is in the Calendly documentation.

How does authentication work for the Calendly integration?

You paste a personal access token from your Calendly account into the Connect Calendly window. There is no Calendly sign-in page. MessageMind stores these credentials encrypted at rest and uses them only server-side, so they never reach the browser or any third party.

What does the AI agent do once Calendly is connected?

It works with live Calendly data during the conversation. The first capability in the Calendly documentation reads: "Check open times for an event type on a given day, at a specific time, or across a range of dates." The full list, with every field the integration reads and writes, is in the documentation.

After you click Connect, you see "Invalid Calendly Personal Access Token. Create one from Calendly → Integrations & Apps → API & Webhooks and try again." What should I do?

The token was not copied in full, or it was deleted in Calendly. Create a new token in Calendly, paste it into the Personal Access Token field and click Connect.
