The Google Calendar AI integration connects Google Calendar to MessageMind so an AI agent can read live context and reply across every channel your customers use. Connect Google Calendar so your AI agent can check when you are free and book appointments into your calendar while it chats with customers. You sign in with Google in a pop-up window, so there are no keys to copy.

What is the Google Calendar AI integration?

Connect Google Calendar so your AI agent can check when you are free and book appointments into your calendar while it chats with customers. You sign in with Google in a pop-up window, so there are no keys to copy. Then you set up one or more bookable events on the Event Scheduling Settings page, each with its own calendar, weekly hours, length and the details to collect from the customer. The AI agent only starts booking once the first event is saved.

You can see every supported integration on the MessageMind integrations page, and the full technical reference for this one lives in the Google Calendar documentation. If you prefer to see it in action first, book a demo and we will walk you through the live flow.

What the Google Calendar integration can do

The Google Calendar AI integration ships with the following capabilities out of the box:

  • Check free times for one of your events on a given day, at a specific time, or across a range of dates.
  • Compare your weekly hours with what is already on the Google calendar you picked, so the AI agent doesn't offer times when you are busy there.
  • Suggest the closest free times before and after the one the customer asked for, when that time is taken.
  • Ask the customer for the details your event needs, such as their name or phone number, before it books.
  • Create the booking in your Google Calendar using the title, description and location you set up for the event.
  • Add a Google Meet link to each booking when Include Google Meet is on. The AI agent gets the link and can send it to the customer in the chat.
  • Have Google email the customer an invitation when Send Invites is on.

Data read and written

The Google Calendar AI integration touches a scoped set of fields. Here is exactly what moves between the two systems:

DirectionWhat it covers
ReadThe list of calendars in the connected Google account, which fills the Calendar list on Event Scheduling Settings.
ReadWhen events on the chosen calendar start and end, and whether they are marked Busy or Free. The AI agent only gets the free times back, not the titles or details of your events.
ReadThe email address of the Google account you signed in with.
WriteA new event on the chosen Google calendar for each booking, with your event title, description and location filled in with the customer's answers.
WriteWhen the customer gives an email address, it is added at the end of the event description and the customer is added to the event as a guest.
WriteA Google Meet link on the event, when Include Google Meet is on.

How to set up the Google Calendar AI integration

Setup takes a few minutes once your Google Calendar account is live. The outline:

  • In the top menu, open Connections and click Integrations.
  • Click Bookings in the left rail, or type Google in the search box.
  • Click Connect on the Google Calendar row. A window opens with Cancel and Connect Google Calendar buttons.
  • Click Connect Google Calendar. Google's sign-in opens in a pop-up window.
  • Pick the Google account whose calendar the AI agent should use, and sign in if Google asks.
  • Review the permissions Google lists and allow them. If Google shows a checkbox for each one, tick them all, because the AI agent can't book without calendar access.

The step-by-step walkthrough, including every button and field, is in the Google Calendar documentation.

Use cases for the Google Calendar AI integration

Teams typically turn the Google Calendar AI integration on to:

  • A customer on WhatsApp asks whether you have anything on Thursday afternoon. The AI agent checks Thursday against your hours and your Google Calendar and lists the free times.
  • A customer asks for 10:00, but you already have a meeting in Google Calendar then. The AI agent offers the closest free times before and after it.
  • You run video consultations. With Include Google Meet on, every booking gets a Meet link, which the AI agent sends to the customer in the chat.
  • You offer a 15-minute intro call and a 60-minute session. Set them up as two events and the AI agent books whichever one the customer asks for.
  • Every demo needs a company name. Put {{Company Name}} in the event title and the AI agent asks for it before booking.

Limitations to know

The Google Calendar integration ships with a deliberately scoped surface. These are the limits worth knowing before you depend on it:

  • Only one Google account can be connected on the Integrations page at a time.
  • The AI agent can't move or cancel bookings. Change or cancel them in Google Calendar.
  • Only the calendar chosen for an event is checked for busy times. Events on your other Google calendars don't block that event.
  • Events marked Free in Google Calendar, cancelled events, working location entries and birthdays don't block a time. Busy events do, including all-day ones.
  • When the day or dates a customer asks about are full, the AI agent looks up to 60 days further for the next opening. If it finds none, it tells the customer nothing is free.

Pricing and plan availability

The Google Calendar AI integration is available on MessageMind's paid plans. The MessageMind pricing page lists which plan is required and what each tier includes. There is no extra per-integration fee; the connection is part of your account.

Frequently asked questions

What is the Google Calendar AI integration?

The Google Calendar AI integration is the native connection between Google Calendar and MessageMind. Once connected, the AI agent can read live Google Calendar context during a conversation and act on it (for example answering a stock question, booking an appointment or updating a contact) across WhatsApp, Instagram, SMS, email and web chat.

How do I connect Google Calendar to MessageMind?

Open the Google Calendar integration page inside your MessageMind dashboard and follow the connect flow. The full step-by-step with every field label and screenshot is in the Google Calendar documentation.

How does authentication work for the Google Calendar integration?

You sign in on Google's own page, in a pop-up window, and allow MessageMind access there. Your Google password is never typed into MessageMind. MessageMind stores these credentials encrypted at rest and uses them only server-side, so they never reach the browser or any third party.

What does the AI agent do once Google Calendar is connected?

It works with live Google Calendar data during the conversation. The first capability in the Google Calendar documentation reads: "Check free times for one of your events on a given day, at a specific time, or across a range of dates." The full list, with every field the integration reads and writes, is in the documentation.

You click Connect Google Calendar and see "Popup blocked!" What should I do?

Your browser stopped the Google sign-in window. Allow pop-ups for the MessageMind dashboard in your browser settings, then click Connect Google Calendar again.
