HubSpot AI Integration: How It Works and How to Connect It
The HubSpot AI integration lets MessageMind's AI agent read live HubSpot data and reply across WhatsApp, SMS, Instagram, email and web chat.
The HubSpot AI integration connects HubSpot to MessageMind so an AI agent can read live context and reply across every channel your customers use. Connect HubSpot so the AI agent can book meetings on your HubSpot meeting links and your contacts sync between HubSpot and MessageMind. You connect by signing in to HubSpot from Connections > Integrations, so there is no key to copy.
What is the HubSpot AI integration?
Connect HubSpot so the AI agent can book meetings on your HubSpot meeting links and your contacts sync between HubSpot and MessageMind. You connect by signing in to HubSpot from Connections > Integrations, so there is no key to copy. After that, new HubSpot contacts appear in your MessageMind contacts and can start a campaign, and you can import the contacts already in HubSpot.
You can see every supported integration on the MessageMind integrations page, and the full technical reference for this one lives in the HubSpot documentation. If you prefer to see it in action first, book a demo and we will walk you through the live flow.
What the HubSpot integration can do
The HubSpot AI integration ships with the following capabilities out of the box:
- The AI agent checks free times on your HubSpot meeting links and books the meeting for the customer inside the chat.
- Before booking, it collects what the link's booking form asks for: first name, last name, email and any questions you added to the form in HubSpot.
- You choose which meeting links the AI agent may offer. If several are allowed and the customer hasn't said which one they want, it asks.
- Contacts created in HubSpot are added to your MessageMind contacts. Later changes to their name, email or phone in HubSpot are copied over.
- New MessageMind contacts that have an email or phone number are added to HubSpot. That includes people who first write to you on WhatsApp or SMS.
- When you edit the name, email or phone of a linked contact in MessageMind, the change is sent to HubSpot.
- You can import all your existing HubSpot contacts from Workspace > Contacts.
Data read and written
The HubSpot AI integration touches a scoped set of fields. Here is exactly what moves between the two systems:
| Direction | What it covers |
|---|---|
| Read | Your meeting links (where the connected user is the organizer) and the questions on each link's booking form. |
| Read | Free times on the meeting links you allowed. |
| Read | Contacts: first name, last name, email and phone. A HubSpot contact with no name gets its company name, or "Unnamed HubSpot contact" if that is empty too. |
| Read | During an import, also each contact's mobile phone and additional email addresses. |
| Read | New contacts and changes to contacts in HubSpot, as they happen. An older HubSpot contact that isn't in MessageMind yet is added the first time it changes. |
| Write | Meetings booked on your allowed meeting links, with the answers the customer gave on the booking form. |
| Write | New contacts created in MessageMind, with name, email and phone. The full name goes into HubSpot's First name field. |
| Write | Name, email and phone changes when you edit a linked contact in MessageMind. |
| Write | If HubSpot already has a contact with the same email address, MessageMind updates that contact and links it instead of creating a duplicate. |
How to set up the HubSpot AI integration
Setup takes a few minutes once your HubSpot account is live. The outline:
- Open Connections > Integrations from the top bar.
- Find the Hubspot row under CRM, or type hubspot in the search box.
- Click Connect on the row. The Connect hubspot window opens.
- The window's text mentions a Client ID, Client Secret and Domain, but there are no fields to fill in. Click Connect in the window.
- Your browser goes to HubSpot. Sign in with the HubSpot user whose meeting links the AI agent should book, and pick the HubSpot account if you have more than one.
- Approve the access MessageMind asks for. Do this within 10 minutes of clicking Connect.
The step-by-step walkthrough, including every button and field, is in the HubSpot documentation.
Use cases for the HubSpot AI integration
Teams typically turn the HubSpot AI integration on to:
- A visitor on your website chat asks for a demo next week. The AI agent checks your demo meeting link, offers a few free times, takes their name and email and books it in HubSpot.
- A customer on WhatsApp wants the earliest call you can do. The AI agent finds the next free slot on the meeting link they asked about and offers it.
- Someone fills in a HubSpot form on your website and leaves a phone number. The new contact starts a campaign that sends your WhatsApp welcome template, and the AI agent handles the reply.
- A new customer messages your WhatsApp number. Their contact, phone number included, is added to HubSpot so your sales team sees it there.

Limitations to know
The HubSpot integration ships with a deliberately scoped surface. These are the limits worth knowing before you depend on it:
- The AI agent can check times and book, but it can't cancel or move a HubSpot meeting. Do that in HubSpot.
- The AI agent can't book a meeting link that has spam prevention (reCAPTCHA) turned on in HubSpot. Turn it off on that link if you want the AI agent to book it.
- Only links where the connected HubSpot user is the organizer are listed. To use a colleague's links, that colleague has to be the one who signs in when you connect.
- One HubSpot account per MessageMind account.
- Only HubSpot contacts and meetings are used. Deals, companies and tickets are not read or changed.
Pricing and plan availability
The HubSpot AI integration is available on MessageMind's paid plans. The MessageMind pricing page lists which plan is required and what each tier includes. There is no extra per-integration fee; the connection is part of your account.
Frequently asked questions
What is the HubSpot AI integration?
The HubSpot AI integration is the native connection between HubSpot and MessageMind. Once connected, the AI agent can read live HubSpot context during a conversation and act on it (for example answering a stock question, booking an appointment or updating a contact) across WhatsApp, Instagram, SMS, email and web chat.
How do I connect HubSpot to MessageMind?
Open the HubSpot integration page inside your MessageMind dashboard and follow the connect flow. The full step-by-step with every field label and screenshot is in the HubSpot documentation.
How does authentication work for the HubSpot integration?
HubSpot sign-in. You click Connect in MessageMind, sign in on HubSpot's own page and approve MessageMind there. The access renews by itself, so you never copy, paste or renew anything. MessageMind stores these credentials encrypted at rest and uses them only server-side, so they never reach the browser or any third party.
What does the AI agent do once HubSpot is connected?
It works with live HubSpot data during the conversation. The first capability in the HubSpot documentation reads: "The AI agent checks free times on your HubSpot meeting links and books the meeting for the customer inside the chat." The full list, with every field the integration reads and writes, is in the documentation.
After HubSpot sends you back, you see "Failed to connect HubSpot". What should I do?
The approval was cancelled or refused in HubSpot, so nothing was connected. Click Connect on the HubSpot row again and approve MessageMind. If HubSpot won't let you approve, ask a HubSpot user who can connect apps to your account to do it.
